STUDIO POLICIES / TERMS & CONDITIONS

We’ve put these policies in place to ensure a seamless experience for you. After working with thousands of actors, we’ve refined our processes to be able to offer optimal service at affordable prices. Please, respectfully, read the policies below and kindly note that we do not make exceptions to the below stated policies. Thank you in advance for your understanding.

OVERALL EXPECTATION & MUTUAL RESPECT POLICY

We founded this studio from a desire to help actors succeed. As a business, we lead with our hearts in all that we do and will always treat each actor with dignity and respect. As artists and professionals, we strive for the best result from every service we offer. As such, we expect everyone to respect each other, respect our staff, and respect the space.

The Actor’s Collective reserves the right to ask anyone to leave if they are not behaving in the best interest of the studio or our staff and we will ban clients unable to behave professionally.
Please be advised that we have a ZERO TOLERANCE policy for rudeness to our staff.

While there is no universally accepted definition of ‘unacceptable behavior’, in our view examples are those given below:
- Offensive or abusive language, verbal abuse and swearing including specific references to homophobia, biphobia and transphobia (whether aimed at or conducted by either customers or staff)
- Any physical violence towards any member of staff or other customers such as pushing or shoving
- Racial abuse and sexual harassment
- Persistent or unrealistic demands that cause stress to staff. Requests will be met wherever possible and explanations given when they cannot
- Unwanted or abusive remarks
- Negative, malicious or stereotypical comments
- Invasion of personal space
- Brandishing of objects or weapons
- Near misses ie. Unsuccessful physical assaults
- Threats or risk of serious injury to a member of staff or visitors
- Unsubstantiated, vexatious or defamatory allegations about our employees
- Bullying, victimization or intimidation
- Stalking
- Spitting
- Alcohol or drug fueled abuse
- Unreasonable behavior and non-cooperation such as repeated disregard of company policies
- Any of the above which is linked to destruction of or damage to property


SELF-TAPE / COACHING POLICIES

+ CANCELLATION & REFUND POLICY

Cancellations / reschedules made less than 12 hours prior to the session start time will forfeit the full session fee. Cancellations made greater than 12 hours prior to the session start time are fully refunded.

+ APPOINTMENTS MUST BE BOOKED BY THE ACTOR AUDITIONING (or THE PARENT/GUARDIAN OF A MINOR)

We do not allow bookings by third party entities, outside businesses, coaches, representation, or any other entity besides the actor for whom the audition has been requested. ANY APPOINTMENTS BOOKED BY A THIRD PARTY ENTITY WILL BE CANCELLED.

+ CAN I BRING MY OWN READER?

Outside readers, reps, producers, directors, and coaches are not permitted during booked sessions. This includes outside readers via Zoom / Facetime. All clients must tape with our readers only and all coaching sessions must be with our coaches.

+ CAN I HAVE THE RAW FILES FROM MY SESSION?

We do not send raw files from self-tape sessions and we do not ‘let the camera run’ for multiple takes and then send video file for clients to edit due to time/size issues with transmission.

+ CAN I HAVE ALL THE TAKES FROM MY SESSION?

We send a maximum of 2 takes per scene regardless of session length. Additional takes will be invoiced at $5 per take.

+ SELF-TAPE SESSIONS ARE FOR AUDITION TAPING ONLY

Self tape sessions are not for promo shooting, chemistry reads, production shoots, live interviews, webinars, or demo reel shoots.

+ CAN I TAPE A SECOND AUDITION IN MY 30-MINUTE SESSION?

Due to tight scheduling and in order to maintain our cost, sessions may consist of one audition taping for one actor. Time permitting and subject to approval by session reader, additional audition(s) may be taped at a charge of $5 per audition. Each 30 minute time block includes one audition taping (one hour session would therefore include two audition tapings). We have a QR code in the taping rooms for quick and easy payment in studio.

+ COACHING SESSIONS ARE FOR ONE AUDITION

Coaching sessions are for 1 audition only regardless of session length.

+ WHAT IS THE TURNAROUND / EDITING TIME?

Turnaround time for self-tapes is typically within 1-2 hours after session. We edit tapes at our earliest schedule availability. However, if you need fast turnaround on editing/transmission, please allow for time at the end of your session for editing and transmission. Once your file has been received, PLEASE download, review your file, and notify us of any requested corrections within 2 hours after your appointment. Please email for any corrections/re-edits. Requests for re-edits after business hours (after 7pm) will be handled on the following morning. If you need a rapid turnaround on your tape, we ask that you tape the first 20 minutes of your 30 minute session and then leave the last 10 for editing and transmission to you. Rapid edit is not available for 15-minute sessions.

+ DO YOU TAKE WALK-INS OR TAKE PAYMENT ON SITE?

Bookings are made only through our website and prepayment is required to book. We do not take walk-ins or provide an option to book in the studio.

+ GRACE PERIOD AND LATE ARRIVALS

Clients who arrive less than 15 minutes late will be permitted to tape for the remainder of their booked session. Clients who arrive more than 15 minutes late to appointment with notice may be permitted to work, depending on audition length. Clients who arrive more than 15 minutes late without providing us notice will not be permitted to tape. There is no grace period for 15-minute self-taping sessions.

+ TAPING SESSIONS FOR MINORS / CHILDREN

During audition taping for child actors, parents are requested to remain outside the taping room to avoid possible distraction. All minors must be accompanied by a legal guardian.

+ PLAYBACK

Playback is considered part of the booked session time. Please plan accordingly. If you do not leave time to watch playback, we will happily choose your best takes for editing and transmission.

+ NUMBER OF RESCHEDULES

We allow up to 2 reschedules of all scheduled appointments respective of rescheduling time limits. We do not allow rolling appointments. Appointments rescheduled more than twice will be canceled and refunded.

+ DO YOU SEND FILES TO CASTING, REPS, OR UPLOAD?

We DO NOT send files to representation or casting and we do not upload finished tapes to casting submission sites.

+ CAN I REQUEST LIGHTING CHANGES?

All technical aspects of the taping experience have been pre-set and predetermined to provide optimal video output at session's end. We do not make changes to lighting setup.

+ WE DO NOT GUARANTEE EMPLOYMENT FROM OUR TAPES

Success in the entertainment industry is not guaranteed. The Actor’s Collective does not guarantee job booking or employment based on coaching or self-taped auditions.


HEADSHOT SHOOT POLICIES

fee## + CANCELLATION & RESCHEDULING POLICY - PLEASE READ CAREFULLY For headshots without makeup, reschedules will be accommodated with 72 hours notice based on studio availability. Cancellations made with less than 72 hours notice are non-refundable. Reschedule requests for headshots without hair and makeup made with less than 72-hours notice will incur a $60 reschedule fee. For headshots with hair and makeup added, cancellations/reschedules are NOT permitted, and fee for hair and makeup services is nonrefundable. Sessions that have already incurred a $60 rescheduling fee that are then cancelled are nonrefundable. We allow up to 2 reschedules of all scheduled appointments respective of the above mentioned rescheduling time limits. We do not allow rolling appointments. Appointments rescheduled more than twice will be canceled and refunded.

+ CAN I BRING MY FRIEND, REP TO MY SHOOT?

Shoots are CLOSED meaning no guests, friends, reps, etc with client. (Minors with parents excepted.)

+ CAN I SHOOT MY LIFESTYLE PHOTO / ALBUM COVER / BOOK COVER / PROMO IMAGES IN A HEADSHOT SESSION?

Headshot shoots are not for artistic photography or album covers, promo shoots, or book covers. We shoot actor headshots for audition submission

Completed headshot shoots must be downloaded within 7 days after email notification of upload into client proofing gallery. Gallery re-uploading to client proofing site will incur a $20 charge.

+ MINOR / CHILD CLIENTS

All minors must be accompanied by a legal guardian.

+ RESHOOTS

Reshoots will be permitted due to technical error ONLY. Reshoots will NOT be granted due to clients clothing, hair, and make up choices, representation feedback, or lack of wardrobe options.

+ CAN I HAVE THE RAW FILES FROM MY SHOOT?

All image are sent as high resolution jpgs - no raw files will be sent.

Title (possession) of and copyright to all products shall remain with The Actor's Collective, Inc. All photos are copyrighted. The negatives and or digital images (hereinafter collectively the "images”) created by The Actor's Collective, Inc. and/or subcontractor(s) remain the property of The Actor's Collective, Inc. It is illegal to copy, scan, reproduce, or post Online in forums or elsewhere without the written permission of the Photographer. Violators of this federal law will be subject to its civil and criminal penalties. Permission is hereby granted to The Actor's Collective, Inc. to use any images created under this contract for professional samples, displays, Internet website pages, advertising, exhibitions, contests, submissions to journalists and any other print and digital purpose. The Photographer retains the copyright to all images produced by the Photographer and/or the Photographer's subcontractors. If purchasing Hi-Resolution images on USB or Web, Clients will be given a written release to make personal copies of images from USB or Web. The client understands the no image can be used for multimedia profit or advertising without prior written agreement between the Client The Actor's Collective, Inc.

*The Client and The Actor's Collective, Inc. understands that selected images agreed upon by the Parties can be used by the Client and the The Actor's Collective, Inc. for Social Media purposes and all posting of images on the Internet must be acknowledged as images by the The Actor's Collective, Inc.


CLASS, AUDIT, & CAREER CONSULT POLICIES

The Actor's Collective is bonded with WESTERN SURETY CO (BOND #63747991) as required by California State Law.  The Actor's Collective is a talent training service. The Actor's Collective does not provide any auditions, potential employment or career management or agent services.  ONLY A TALENT AGENCY, LICENSED PURSUANT TO SECTION 1700.5 OF THE LABOR CODE, MAY ENGAGE IN THE OCCUPATION OF PROCURING, OFFERING, PROMISING, OR ATTEMPTING TO PRODUCE EMPLOYMENT OR ENGAGEMENTS FOR AN ARTIST. We allow up to 2 reschedules of all scheduled class audit appointments respective of rescheduling time limits. We do not allow rolling appointments. Appointments rescheduled more than twice will be automatically canceled.


USAGE AND INDEMNIFICATION

By agreeing to these terms and conditions, you give The Actor's Collective (TAC) permission to use your image and taped materials for marketing purposes provided that such imagery does not violate the terms of an NDA (non-disclosure agreement).  We will not use any footage from self-tape sessions for unaired projects. The Actor's Collective reserves the right to use any photograph/video taken at The Actor's Collective studio, without the expressed written permission of those included within the photograph/video. The Actor's Collective may use the photograph/video in publications or other media material produced, used or contracted by TAC including but not limited to: brochures, invitations, books, newspapers, magazines, television, websites, etc.  By participating in a session at TAC or by failing to notify TAC, in writing, your desire to not have your image used by TAC, you are agreeing to release, defend, hold harmless and indemnify TAC from any and all claims involving the use of your picture or likeness.

By agreeing to these terms and conditions, you shall indemnify and hold harmless The Actor's Collective and its directors, employees, subcontractors, and customers from and against all allegations, claims, actions, suits, demands, damages, liabilities, obligations, losses, settlements, judgments, costs and expenses (including without limitation attorneys’ fees and costs) which arise out of, relate to or result from any act or omission of The Actor's Collective.  

Any person or organization not affiliated with TAC may not use, copy, alter or modify TAC photographs, graphics, videography or other, similar reproductions or recordings without the advance written permission of an authorized designee from TAC.


GENERAL TERMS

The above agreements set forth and constitute the entire agreement and understanding of the parties with respect to the subject matter hereof. This agreement supersedes any and all prior agreements, negotiations, correspondence, undertakings, promises, covenants, arrangements, communications, representations, and warranties, whether oral or written, of any party to this agreement. The above policies and terms and conditions shall remain in effect for the duration of service and shall be renewed upon a new service agreement with TAC.

Assumption of the Risk and Waiver of Liability Relating to Coronavirus/COVID-19

The novel coronavirus, COVID-19, has been declared a worldwide pandemic by the World Health Organization. COVID-19 is extremely contagious and is believed to spread mainly from person-to-person contact. As a result, federal, state, and local governments and federal and state health agencies recommend social distancing and have, in many locations, prohibited the congregation of groups of people. The Actor’s Collective, LLC (the studio) has put in place preventative measures to reduce the spread of COVID-19; however, the studio cannot guarantee that you will not become infected with COVID-19. Further, attending the studio could increase your risk of contracting COVID-19. By booking services with The Actor’s Collective, I acknowledge the contagious nature of COVID-19 and voluntarily assume the risk that I may be exposed to or infected by COVID-19 by attending the studio and that such exposure or infection may result in personal injury, illness, permanent disability, and death. I understand that the risk of becoming exposed to or infected by COVID-19 at the studio may result from the actions, omissions, or negligence of myself and others, including, but not limited to, studio employees and/or other clients. I voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any injury to myself (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that I may experience or incur in connection with my attendance at the studio or participation in studio services. On my behalf I hereby release, covenant not to sue, discharge, and hold harmless the studio, its employees, agents, and representatives, of and from claims, including all liabilities, claims, actions, damages, costs or expenses of any kind arising out of or relating thereto. I understand and agree that this release includes any claims based on the actions, omissions, or negligence of the studio, its employees, agents, and representatives, whether a COVID-19 infection occurs before, during, or after participation in any studio service.
